Who this policy covers

This policy explains how Atomic Pillar Agency handles personal information through this agency website and related enquiries. We are based in Toronto, Ontario, Canada. Separate products, including Atomic Pillar, and systems we build for clients may have their own privacy notices and contractual terms. This policy does not replace those notices.

02

Information you share with us

When you email, call or book a conversation, you may provide your name, email address, phone number, business name, website, project interests and other information you choose to share. Please only include information needed for your enquiry. Do not send passwords, payment card details or sensitive customer records through the website or an initial enquiry.

03

How the enquiry form works

The contact form prepares a draft in your own email application. Its fields are not submitted to an agency form database when you press the button. We receive the enquiry only when you send the email. Your email provider processes that message under its own terms and privacy policy. Interactive examples on this website use illustrative content and do not represent live customer records.

04

How we use personal information

We use enquiry information to respond to you, arrange meetings, understand your requirements, prepare proposals and manage related communications. If you become a client, we may also use relevant information to deliver agreed services, administer the relationship and meet legal obligations. We also use necessary technical information to operate, secure and troubleshoot the website. We do not sell personal information. We do not treat an enquiry as permission for unrelated promotional communications.

05

Hosting, technical information and cookies

Our hosting and infrastructure providers may process technical information such as IP addresses, browser and device details, requested pages, timestamps and security logs to deliver and protect the website. The current website code does not include advertising pixels or audience analytics scripts. Hosting or security services may use technologies necessary to operate their services. External sites you visit may use their own cookies. You can manage cookies through your browser settings. We will update this policy if we introduce analytics or other tracking, and request consent where required.

06

Booking links and service providers

Our booking links open Calendly, which processes booking details under its own privacy notice. Hosting, email and scheduling providers may process information needed to support your visit or enquiry. Our public website is hosted on Vercel; its privacy policy describes its practices. Review versions hosted through ChatGPT Sites are subject to that platform’s access and privacy arrangements. We may disclose information where legally required or permitted, including to protect rights and address security incidents. Links to other websites are governed by those websites’ own policies.

07

Where information is processed

Our service providers may store or process information in Canada or other countries. Information processed outside Canada may be subject to the laws and lawful access requirements of those countries. You can contact us with questions about the providers involved in your enquiry.

08

Retention and safeguards

We retain personal information only for as long as reasonably needed for the purposes described here, including handling your enquiry, an ongoing business relationship and applicable legal or record-keeping obligations. Retention depends on the information and circumstances. We use reasonable safeguards appropriate to the sensitivity of the information. No internet transmission or storage method is completely secure.

09

Your choices, access and corrections

You can ask about the personal information we hold about you, request access or corrections, or request deletion where applicable. You may also withdraw consent to future uses, subject to legal or contractual restrictions and reasonable notice. We will explain any relevant limitations or effect on services. We may need to verify your identity before responding, and will respond within applicable legal time limits. Send requests to connect@atomicpillaragency.com with “Privacy request” in the subject line.

10

Changes to this policy

We may update this policy as the website or our practices change. The date at the top identifies the latest revision. Where required, we will provide additional notice or obtain consent for a new purpose.
